Running a DMC as a team of one
Solo tour operators carry the same file load as a small team, with none of the back office. Here is how we think about building software for them.
A lot of the tools sold to tour operators assume a team. There is a sales seat, an operations seat, a finance seat, and a manager who looks at dashboards. The pricing page assumes it too.
Plenty of South African operators do not look like that. They are one person, sometimes two, who quote in the morning, chase supplier confirmations at lunch, and reconcile payments at night. They are not a smaller version of a big DMC. They are a different shape of business, and they need software that respects that.
What a solo operator actually needs
When you are the whole company, you do not need role-based dashboards. You need:
- One place for rates so you stop searching your inbox for last year’s PDF.
- Quotes that are right the first time because there is nobody to double-check your work.
- Reminders that fire on their own for reconfirmations and payment deadlines, because you cannot hold thirty files in your head.
- A clear view of what is owed in both directions, without exporting to a spreadsheet.
None of that requires a team. It requires a system that does the remembering.
How we are building for it
TourBiddy has no minimum team size. A single login gets the full workflow: rate parsing, quoting, bookings, supplier follow-up, and payment tracking. The role-based views that larger teams use are still there, but a solo operator simply wears all the hats in one account.
We also try not to add steps that only make sense with a hand-off. If you are the consultant and the ops desk, the quote should convert to a booking in one action, not sit in a queue waiting for someone else.
Why it matters to us
Aalia runs a ground operation out of Cape Town with a very small team. Most of what is in TourBiddy exists because she needed it and there was nobody else to do it. We are building the tool we wished existed, and solo operators are not an afterthought in that. They are the starting point.
