Why rate sheets quietly break South African tour operators
Every DMC runs on supplier rate sheets. Here is why they cause so much rework, and what a better workflow looks like.
Every September, the same thing happens across South Africa’s tour operators. Supplier rate sheets for the following year land in inboxes as PDFs, Excel files, and the occasional photographed price list. Someone has to read all of them, work out which season applies to which dates, and load the numbers into whatever the business quotes from.
For a large DMC, that might be a small team working for weeks. For a solo operator, it is your evenings for a month.
Where the errors come from
Rate sheets are not standardised. One lodge lists per-person sharing rates; the next lists per-room. One splits the year into three seasons; another has seven, with shoulder periods that shift by a few days each year. Child policies, single supplements, and STO versus rack rates are all expressed differently.
None of this is difficult on its own. The problem is volume. When you are loading two hundred properties, the odds of one rate landing against the wrong season are close to certain. That error sits quietly until a quote goes out, a client accepts, and the supplier invoice arrives higher than expected.
Why spreadsheets do not fix it
Most operators have built a spreadsheet, or several, to hold rates. They work until they do not:
- Formulas break when someone inserts a row.
- Nobody is sure which version is current.
- Seasonal logic lives in someone’s head rather than in the sheet.
- Margin is applied inconsistently between consultants.
The spreadsheet is not the problem. The problem is that the spreadsheet is doing the job of a system.
What a better workflow looks like
The rate sheet should be read once, checked once, and then reused everywhere. That means:
- Structured extraction. Pull the rates, seasons, and policies out of the document into a consistent shape, regardless of how the supplier laid them out.
- A validation step. A human confirms what was extracted before it becomes live. AI parsing is fast, but it is not infallible, and the operator is the one who knows the supplier.
- Quotes built from the validated rates. Pricing rules and margin are applied the same way every time, and the consultant can see where the numbers came from.
- Bookings that inherit from the quote. No retyping, no second chance for the wrong season to sneak in.
