Deposits

The booking Financials tab shows the deposit required, paid amount, and balance due. Use these values to coordinate the client payment checkpoint before suppliers and travel dates move forward.

  1. Open the booking and confirm the client, currency, total amount, and deposit required.
  2. Request the deposit using your normal client communication process and keep the due date visible to the team.
  3. When funds arrive, choose Record Client Payment and enter the amount and payment reference.
  4. Confirm the paid amount and balance due have updated. A payment that meets the deposit requirement moves the booking toward the next operational phase.
  5. Continue tracking the remaining balance separately; a deposit does not mean the booking is fully paid.

The computed phase normally shows AwaitingDeposit while the required deposit remains outstanding and AwaitingBalance after the deposit has been received but the final balance is still due. Supplier confirmations and travel timing can introduce additional actions, so use the phase banner and next-action list together with the Financials tab.

TourBiddy supports recording client payments and showing deposit and balance figures at booking level. It does not currently provide a complete payment gateway, bank reconciliation, accounting ledger, or automated collections workflow. Follow your organisation’s approved finance controls for receipts, refunds, and reconciliation.
