Sending and accepting a quote
Quotes follow a controlled lifecycle: Draft → Priced → Sent → Accepted. Keep a quote in Draft while you are still adding lines or checking supplier rates. Draft quotes cannot be sent.
- Build the itinerary and save it as Draft.
- Reopen the draft and check the client, pax, dates, supplier lines, currency, and markup.
- Move the quote to Priced once the total is ready for a client. This is the point at which your team confirms the amount is internally correct.
- Generate or preview the client document and send the quote from the quote workflow. The status becomes Sent.
- When the client agrees, record acceptance. The quote becomes Accepted and is ready for conversion to a booking.
If the client requests changes after sending, keep the sent quote as a record and create an updated quote rather than silently changing the historical amount. When an accepted booking needs a material change, use a revision quote linked to that booking.
Before sending, ensure all required services have a selected rate and that no placeholder text remains in the client-facing output. If the app blocks sending, read the validation message and return the quote to a complete, priced state. Status changes are operational signals, so use them consistently across the team.
